PURPOSE OF THE ROLE

The Project Manager (PM) / Assistant Project Manager (APM) supports the successful execution of retail and F&B shop development projects, with a strong focus on the airport environment. The role includes coordinating design, construction, procurement, budgeting, stakeholder communication, and site delivery across multiple regional markets in Asia.

The PM will manage multiple fastpaced projects simultaneously, ensuring they are delivered on time, on budget, and to expected quality standards, while maintaining strict compliance with airport regulations, landlord requirements, and safety protocols.

 

RESPONSIBILITIES

1. Project Coordination & Execution

  • Support delivery of retail and F&B construction/fit out projects, including new stores, refurbishments, and upgrades.
  • Coordinate with architects, designers, consultants, general contractors (GC), suppliers, and airport authorities.
  • Assist with site surveys, layout/drawing preparation, and technical reviews.
  • Monitor progress on site and support resolution of construction, MEP, and design issues.
  • Ensure adherence to airport specific operational, safety, and access requirements.
  • Support store handover, testing & commissioning (T&C), punch list closure, and opening readiness.

2. Budgeting & Cost Control

  • Assist in preparing budgets, cost estimates, tender documents, and comparative analysis.
  • Track spending vs. approved budgets and identify cost saving opportunities.
  • Manage contractor quotations, variation orders, invoices, and payment documentation.

3. Reporting & Documentation

  • Prepare and share weekly project progress reports including timelines, risks, delays, financial status, and next step action plans.
  • Maintain accurate project documentation, including drawings, permits, contracts, meeting minutes, and schedules.
  • Support compliance submissions to landlords, airport authorities, and government agencies.

4. Stakeholder Communication

  • Act as a coordination point between internal and external stakeholders across multiple project streams.
  • Provide timely updates to senior management and cross functional teams (Operations, IT, Finance, Marketing, Supply Chain).
  • Manage vendor and partner communication to ensure timely and quality project delivery.

5. Quality, Safety & Risk Management

  • Conduct regular site visits to evaluate construction quality, safety practices, and brand compliance.
  • Identify project risks or delays and proactively recommend mitigation strategies.
  • Ensure strict compliance with airport construction protocols and building codes.

 

WHAT WE ARE LOOKING FOR

  • Bachelor’s degree in Architecture, Interior Design, Engineering, Construction Management, or related discipline.
  • 5+ years of relevant experience in retail or F&B project management, construction, or fit out.
  • Experience working within airport environments (highly preferred).
  • Exposure to retail/F&B project delivery in Asia (preferred).
  • Strong understanding of construction drawings, MEP systems, and project coordination.
  • Experience in multi-site project execution and fast paced environments.
  • Strong project management, planning, and organizational skills.
  • Ability to manage multiple concurrent projects with tight deadlines.
  • Excellent communication in English, Cantonese and Mandarin.
  • Proficiency in MS Excel, PowerPoint, MS Project, and preferably AutoCAD.
  • Detail oriented, proactive, and able to solve problems independently.
  • Strong teamwork and coordination across internal and external stakeholders.
  • Able to travel frequently across Asia Pacific region as required.
